When you use our accountancy fee calculator, we collect:

• Your business type (e.g. sole trader, limited company)
• Your estimated annual turnover
• The accountancy services you require
• What you currently pay for accountancy (if provided)

If you book a call or contact us directly, we may also collect your phone number and any information you share during that conversation.

Why we collect it

We use your data to:

• Generate and deliver your personalised accountancy quote
• Follow up with relevant information about our services
• Book and manage consultation calls
• Improve our quote tool and service offering

Our legal basis for processing is legitimate interest — you have actively requested a quote and it is reasonable for us to follow up. You can opt out of follow-up communications at any time by emailing us or clicking unsubscribe in any email we send.

Who we share your data with

We use the following third-party tools to manage your data:

• GoHighLevel (LeadConnector) — our CRM and email automation platform. Your contact details and quote information are stored and processed here. GoHighLevel is GDPR-compliant and stores data on EU/UK servers.
• Google — for calendar and appointment scheduling if you book a call.

We do not sell your data to any third parties.

How long we keep your data

If you become a client, we retain your data for as long as required to provide our services and meet our legal obligations (typically 6 years for financial records, in line with HMRC requirements).

If you request a quote but do not become a client, we retain your contact data for up to 24 months, after which it is deleted from our systems.

Your rights

Under UK GDPR, you have the right to:

• Access — request a copy of the data we hold about you
• Rectification — ask us to correct inaccurate data
• Erasure — ask us to delete your data ("right to be forgotten")
• Restriction — ask us to limit how we process your data
• Portability — request your data in a portable format
• Objection — object to us processing your data for marketing purposes

Cookies

Our website uses minimal cookies — primarily for analytics (if enabled) and to support third-party booking tools. No personal data is collected via cookies without your knowledge.
